This Refund Policy explains the circumstances under which PilotPoster may issue refunds for paid subscriptions.

By purchasing and using PilotPoster, you agree to the terms outlined below.

7-Day Refund Window

New users can request a full refund within 7 calendar days of their initial purchase. This gives you time to evaluate PilotPoster risk-free.

PilotPoster offers a refund window to allow new users to evaluate the Service.

A refund may be requested within 7 calendar days from the date of the initial purchase, provided the request is submitted during this period.

Not Eligible

Refund requests made after this timeframe are not eligible.

Recurring Subscriptions & Renewals

PilotPoster subscriptions renew automatically unless canceled. Payments made for:

  • Subscription renewals
  • Plan extensions or upgrades
  • Continued use of the Service beyond the initial refund window

are not eligible for refunds.

Tip: Users are responsible for managing their subscriptions and canceling prior to renewal if they no longer wish to continue.

If the request is made within the applicable refund window, it will be reviewed and processed accordingly.

Refund Processing

  • Approved refunds are issued to the original payment method.
  • Processing times typically range from 5 to 10 business days, depending on your payment provider or bank.

Effect of Refund

If a refund is issued:

  • Access to paid features may be suspended or discontinued
  • The associated subscription may be canceled

Non-Refundable Circumstances

Refunds will not be provided for:

  • Requests made outside the eligible refund period
  • Partial subscription usage
  • Renewals or subsequent billing cycles

White Label: Non-Refundable

All fees related to the White Label service are strictly non-refundable. This applies to both the one-time setup fee and the recurring monthly fee.

No Refunds for White Label

Neither the one-time setup fee nor the monthly White Label fee is eligible for a refund under any circumstances.

Why the setup fee is non-refundable

When we set up a White Label instance for you, our development team puts in real hands-on work to make it happen. This includes configuring your own dedicated back-end systems (servers, databases, background task workers), building and deploying a custom front-end branded to your business, setting up your domain, and connecting everything so it all works together seamlessly. Think of it like hiring a contractor to build out a custom space — once the work is done, those hours and resources have already been spent.

Why the monthly fee is non-refundable

The recurring monthly fee covers the ongoing cost of keeping your White Label instance up and running. This includes server hosting, database storage, processing power, security updates, system monitoring, and regular maintenance. These are real infrastructure costs that we pay regardless of whether or not the service is actively being used — similar to how rent is due whether or not you're in the office that month.

In short: White Label involves dedicated resources and custom development work that cannot be reversed or reused, which is why all associated fees are final.
