Group Rules and Admins: Become a Welcome Member

Admins are the gatekeepers of your best audiences. Read the rules in two minutes, use promo days well, and send a short message that turns admins into allies.

Chapter 03 of 08 3 min read Updated October 2026

In short

Every group has its own culture, and admins protect it. Read each group's rules once, sort groups by what they allow (open, promo days, or threads), and schedule posts that fit. For your favorite groups, send the admin a short, friendly message offering value to their members. Admins who know you approve your posts faster and sometimes invite you to share more.

Admins run groups for free, often for years, because they care about their community. When a business shows up with posts that help members, most admins are happy to have them. The businesses that do best in groups treat admins as partners, not obstacles.

Read the Rules in Two Minutes

Open the group's About section and its pinned post (that is where most rules live). You are looking for answers to four questions:

  1. Are business posts allowed? Always, on certain days, or only in a weekly thread?
  2. Are links allowed? Some groups prefer links in the comments. Your automatic first comment handles that.
  3. Is there a format? Some buy and sell groups ask for price and location in every listing. Some ask for a tag like [SERVICE] in the first line.
  4. How often? A few groups set a "one promo post per week" rule. Note it and schedule to match.

Sort Groups by What They Allow

Group typeWhat it allowsHow to post
OpenBusiness posts any dayYour regular schedule, with a value-first content mix
Promo dayBusiness posts on one day, like "Self-Promo Saturday"A dedicated list with a campaign that repeats on that day
ThreadPromotion only inside a weekly postComment in the thread by hand; share value posts the rest of the week
Value onlyNo promotion, but helpful posts welcomeTips and answers only; your profile does the selling
Value-only groups still bring customers

When you post helpful tips with no pitch, curious members click your name. Make sure your profile intro says what you do and where, for example "Lawn care in New Braunfels. Free quotes by message." Your expertise does the selling for you.

Promo Days Are a Gift

Groups with a promo day concentrate every business post into a single day, and members who want to buy know exactly when to look. Put these groups in their own list and create a campaign that repeats on that weekday, early in the morning, so your post is near the top of the day. Bring your strongest offer to promo days: a clear service, a price or starting price, your area, and how to book.

Message the Admin: A Script That Gets a Yes

For your three to five best groups, send the admin a short message. Keep it about their members, not your business:

Template

Hi [Name], thanks for running [Group]. It's one of the most helpful groups in [Town]. I run [business] and I'd love to share practical [topic] tips with members now and then, plus the occasional offer on promo days. Is there anything you'd like me to do or avoid? Happy to follow your lead.

Many admins reply with useful guidance, and some go further. Here are three offers that admins often welcome:

  • A members-only discount, which gives them something to promote and gives you a trackable offer.
  • A useful resource, like a seasonal checklist they can pin for members.
  • A Q&A post where you answer members' questions about your field for an afternoon.
Pending posts are normal

Many good groups review posts before they appear. That is a sign of a well-run group, not a problem. Approval usually gets faster as admins recognize your name, and PilotPoster's group health view shows you which groups publish your posts reliably.

Stay a Welcome Member

  • Be part of the conversation. Answer a question or two each week without promoting anything.
  • Make each post fit the group. Mention the town, the season, or the topic the group is about. A unique version for every group does this automatically.
  • Reply to comments. Admins notice businesses that engage, and members reward them.
  • Follow format rules exactly. If a group asks for a tag or price, include it every time.
Remember
  • Read each group's About section and pinned post once, and note what it allows.
  • Sort groups into open, promo day, thread, and value-only, and post to match.
  • Give promo-day groups their own list and a campaign that repeats on that day.
  • A short, member-focused message turns admins into allies.
  • Engaging, fitting posts keep you welcome and get approved faster.
